How we handle personal information when you browse, enquire or work with Ren Construction & Maintenance (Pty) Ltd.

1. Who this policy covers

This policy explains how Ren Construction & Maintenance (Pty) Ltd ("Ren", "we", "us") handles personal information connected with this website, enquiries and construction or maintenance services in South Africa. It applies to prospective clients, clients, people acting on their behalf and other people who contact us. We handle personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA), and other applicable requirements.

2. Information we receive

Depending on your interaction with us, information may include your name, phone number, email address, town or area, property or project address, service requirements, timing preferences, correspondence, photographs and plans. If a project proceeds, relevant quotation, contract, invoice and payment records may also be needed. Provide only information relevant to the enquiry. Avoid sending identity documents, bank details, access codes or sensitive personal information through the website brief. Only share another person’s information or property photographs when you are authorised to do so.

3. How the website enquiry tool works

The enquiry tool prepares a project brief in your browser. Its fields cover your name, the service required, town or area, optional timing and a description of the work. The website does not submit that brief to a Ren database or send a message automatically. You can review and edit the brief before opening WhatsApp. Opening WhatsApp passes the prepared text to that service in a link, even before you choose to send the message there. WhatsApp handles that information under its own terms and privacy policy. Using Copy brief places the text on your device clipboard, where your device’s clipboard and synchronisation settings apply. The form does not use browser local storage to save your brief.

4. Your choices when contacting us

You may contact Renier by telephone, email or WhatsApp instead of using the brief tool. An email link opens your email application; you decide whether to send the email. Information is generally provided voluntarily, but without relevant contact or project details we may be unable to respond, prepare a quotation or perform requested work. Information received in email or WhatsApp correspondence is separate from the website form and may be retained as a business record.

5. Why information is processed

Relevant information may be used to respond to enquiries, clarify requirements, assess a project, arrange visits, prepare quotations, communicate about work, perform an agreed service, manage accounts, resolve disputes and meet legal obligations. Depending on the circumstances, processing may be justified by steps towards or performance of a contract, compliance with law, legitimate interests that do not override your rights, or consent. Where processing relies on consent, you may withdraw it; this does not make earlier lawful processing unlawful.

6. Technical information and cookies

This version of the website does not include advertising trackers, analytics scripts or a marketing-cookie system. Fonts and website images are served locally. Browser caching may store site files on your device. When a website is hosted, its hosting and network services may process technical request information such as IP address, browser type, requested pages, timestamps and error information to deliver and protect the site. The enquiry tool itself does not store its fields in cookies. External services opened from the site, including WhatsApp, may use cookies and other technologies under their own policies.

7. Sharing and service providers

Where needed for an enquiry or agreed work, relevant information may be shared with authorised personnel, contractors, suppliers or professional advisers involved in the project. Hosting, email and communication providers may process information in providing their services. Disclosures may also be necessary to comply with a legal obligation or protect lawful rights. Sharing should be limited to what is necessary for the purpose, with appropriate confidentiality and protection arrangements. Personal information is not intended for sale or unrelated advertising.

8. Information processed outside South Africa

Communication and hosting providers may operate infrastructure outside South Africa. Where Ren transfers personal information internationally, applicable POPIA requirements must be met, for example through adequate protection under law or a binding agreement, or another permitted ground. Choosing an external service also means that its own privacy terms apply to its processing. Contact us if you need information about the providers involved in a particular enquiry.

9. Retention and protection

Personal information should be kept only as long as needed for the purpose for which it was collected, applicable record-keeping duties, contractual responsibilities or the establishment, exercise or defence of legal claims. Retention periods depend on the record and circumstances; this policy does not set a universal deletion date. Information that is no longer required should be securely deleted, destroyed or de-identified where appropriate. Reasonable technical and organisational safeguards are required to protect information against loss, unauthorised access and misuse. No online service or transmission can be guaranteed completely secure. If a security compromise requires notification under POPIA, affected people and the Information Regulator must be notified as required.

10. Your privacy rights

Subject to applicable conditions and lawful exceptions, you may ask whether we hold your personal information, request access, ask for inaccurate or outdated information to be corrected, request deletion of information that we are no longer entitled to retain, object to certain processing or withdraw consent where it is the basis for processing. Contact Renier using the details below and describe your request. Reasonable proof of identity or authority may be needed before information is disclosed or changed. Any applicable procedure, lawful fee, restriction or reason for refusing a request will be explained.

11. Marketing, children and automated decisions

Making an enquiry does not subscribe you to a marketing mailing list. This website has no newsletter signup or automated profiling or decision-making feature that determines eligibility for a service. Any future electronic direct marketing must meet applicable consent and opt-out requirements. The website is intended for people arranging construction or maintenance services, not for collecting children’s information. Please contact us if a child’s personal information has been supplied unintentionally.
